Some common reasons why voicemail to email may not work on your Avaya IP office:

  • IP address changes on the network
  • The LAN or WAN port on the IP office have been physically disconnected
  • Incorrect authentication details

Get in contact with your email provider or phone system provider to check the above.

This is done through the envelope button on your handset, you may see 0/0/0 – this indicates how many new, old and saved messages you have.

If you’re having trouble accessing your voicemail messages you may need to reset your passcode – this can be done in Avaya manager software.

There are a number of ways you can record your voicemail on Avaya IP500. The most common way is by pressing the voicemail key located on the left side of your handset, scroll down using the navigational pad and select ìgreetingî. From there you will be prompted with options to listen, record and save your new greeting.

Avaya IP Office has the ability to connect with virtually any line technology available – as a result there are many different methods used required to forward your lines. If there is not already a forward button configured on your handset you may need to contact your telephone provider or service provider.

You’re in luck! Avaya IP Office phones are extremely clever and will adjust the volume of the current source of sound using the volume keys. So whilst the phone is ringing youíre able to increase or decrease the volume by pressing the plus or minus on the handset.

Have a colleague dial your extension and adjust the volume until required.

If you have access to Avaya Manager software you can change this under the voicemail tab by selecting the user or group required and clicking voicemail. There you will find a timer that is calculated in seconds, as a rough guide we use the 15 second rule which equals approx. 4 to 5 rings.

This is done through the envelope button on your handset, scroll down until you see the words ‘greeting’ – if you have an older style Avaya handset you may need to press option 3 instead.

For this, you will require access to Avaya manager software tool.

Select the Groups tab and highlight the group you wish to change the configuration of.

Once there you can select members of which you can add or remove from the group.
